General Description

The Receptionist/Safety and HR Coordinator will provide support to both the Safety and Human Resources Departments, along with support to other departmental needs, as requested.    

Key Duties

  1. Administrative
    • Answer Phones, Greet Clients/Customers, Sort Mail, Shipping
    • Create Stickers, Posters, Booklets etc.
    • Tracking Inventory and Ordering of Safety Incentives
    • Compile various books and binders for departments
    • Maintain Certificate of Insurance for Subcontractors (contracts)
    • Complete Monthly Equipment SAP Audit
    • Maintain and update various stats-graphs, charts, etc.
  2. Accident/Incident/Near Miss Database Management
    • Maintain Accident/Incident Access Database
    • Maintain and Distribution of Near Miss and Safety Suggestion Monthly Summary
    • Distribution of Accident/NM/Incident reports
  3. Physical Abilities Test
    • Scheduling with Medical Providers
    • Communicate with project managers and employees
    • Reconcile Invoicing
  4. CDL/Approved Drivers/Crane Operators
    • Complete and Maintain CDL and Driver Files
    • Maintain and Communicate Monthly File exception report
    • Annual MVR Consent
    • Solicit prior employer for history
    • Submit Medical Cards to DOT
  5. Drug and Alcohol Scheduling
    • Random selection and communication w/Safety managers
  6. NESOT
    • Maintain and Distribute exception report
  7. Claims Support
    • Communicate with third party insurance carriers regarding damage claims
    • Draft third party claim denial letters for project managers
  8. Training
    • Scheduling of Training Center
    • Maintain and circulate annual Operations and Safety training calendar
    • Entering Training into Kheops
    • Update and Make various Safety Training books, manuals and power points
    • Maintain and Distribute Training Exception reports
