Summary:  Prepare and maintain shipping documentation to coordinate transportation of packaged products to customers and internal warehouses.


Essential Duties and Functions:


  • Communicate by telephone, letter or email correspondence with freight carriers, customers, customer service, and shipping personnel.
  • Post orders in SAP when shipped.
  • Establish deliveries and divide them by color, availability, date, and quantities to create trailer load.
  • Monitor sales order to ensure ship dates are on target.
  • Route LTL shipments as required by customer or manager.
  • Receive freight charges from carriers, review exceptions and post in SAP for billing.
  • Authorize changes to shipments and re-consignments and send to accounting for extra billing changes to customer.
  • Create commercial invoices and export declaration when necessary for export shipments.
  • Fax bills of lading and packing list to customer and carriers
  • Enter order locations in the computer and file documentation in proper location
  • Calculate linear feet for shipments in order to estimate calculate how many trailers an order will take.
  • Verify all tickets match load list for trailer loading.
  • Contact freight carriers receiving quotes for salesman and customer service.
  • Monitor ”Freight Quotes” email box: create and forward freight quotes rates to sales, customer service and customers as requested.
  • Obtain quotes and book flatbed trailers for Schmidt traffic.
  • Research any complaints of shortages on orders and respond to customer service on findings.
  • May perform other duties as assigned by Manager.







  • Excellent oral and written communication skills
  • Ability to perform basic mathematical applications to calculate loads and billings
  • Minimum one year of shipping or transportation coordinator experience preferred
  • SAP experience preferred
  • Ability to perform computer applications in Microsoft Office (Word, Excel, Access)




Associate's degree (A. A.) or equivalent from two-year College or technical school; or one year related experience and/or training; or equivalent combination of education and experience. In addition, the right candidate should have at minimum one-year experience in inventory control within the SAP platform. Working knowledge of lean practices is preferred.


Computer Skills                                                     

To perform this job successfully, an individual should have knowledge of SAP Inventory software and competency in making inventory adjustments using cycle count and scrap functions. Must be proficient using Microsoft Office programs such as Excel and Word for document creation.
